Scope and Contents

Series I: State University System, 1969-2002 contains materials that document the broad scope of the State University System that was the entity governed by the Board of Regents from 1965 to 2001. It shows the president's work with both the State University System and federal entities in dealing with the university's operations and budgetary concerns. Most of these records were created by or for the Chancellor, Board of Regents and Council of Presidents. This series includes information about the dissolution of the Board of Regents.

Series II: Academic Affairs, 1973-2004 holds records concerning the academic life of the University. This series includes documents about individual colleges, centers and institutes, branch campuses, faculty, research, Undergraduate Studies, the library, WUCF, programs and Founders' Day. Documents written in Russian are included in the file concerning the Florida/USSR International Linkage Institute and the Chinese language documents are in the International Programs file. Materials of interest include individual department files, files on branch campuses and related facilities, the Sinkhole Research Institute, Women's Center, and the founding and operations of the Orlando Shakespeare Festival.

Series III: Student Affairs, 1980-2002 contains materials that relate to aspects of university life that fall under the auspices of the Vice-President for Student Affairs or that directly interest students. This series includes information about housing and how it was financed, food service, the building of the Student Union and the International Student Center. It also holds materials on Student Government, greek life and other student associations.

Series IV: University Relations, 1969-2003 holds materials concerning the university's relationships with outside individuals and companies. Many of the materials in this series relate to the Foundation that raises money for the University. The Foundation's files mostly consist of Board Meeting minutes, budgetary concerns, scholarship fund-raisers and the building of the President's House. The University Club files document the public discussion that followed when the Foundation decided to accept scholarship funds from the club, which did not admit women or minorities as members. Other materials document alternative sources of funding and ways of marketing the university including relationships with alumni, community members and leaders, and with the State University System that governed UCF during this period.

Series V: Administration and Finance, 1968-2000 contains a small amount of material that shows the variety of subjects monitored by this division. It oversees such departments as Human Resources, Facilities Planning and the police as well as the university's finances. Budget files provide a glimpse of how money is spent and accounted for at the institution, and the other files show how costs impact every aspect of the organization including buildings, campus services and personnel.

Series VI: President's Office, 1968-2008 holds materials relating to matters in which the president was directly involved. This series above others shows the range of a president's work nationally, statewide, locally and within the university. Government, associations, businesses, community involvement and university policy all require the president's direct attention, and examples of all these aspects of his work may be found in the alphabetical files and the chronological files. One large group of files documents intercollegiate athletics. Personal files show UCF presidents' commitment to community involvement as well as the advancement of Orlando as a whole. Within the correspondence files are form letters written to the entire University, letters of complaint, praise, invitation or thanks, occasional photographs, requests to serve on committees, correspondence with officials of the government and the State University System, agreements with partners, and information concerning local organizations and businesses. All types of correspondence were sampled to form a representative selection of the types of correspondence written and received by the president. Document type files include reports, appointment books, news clippings and commemorative materials. Finally some files document the activities undertaken by Dr. Hitt's Chief of Staff.

Some files are restricted. Access to UCF Facilities drawings, documents, and sensitive data is available to authorized university staff and approved consultants only, per university policy, and under lawful exception to Florida's Public Records Law. While most of the collection is open for research, some materials concerning grievances in boxes 3, 42, 71 and 79, some files in box 63 concerning the Medical School, some materials in boxes 81 and 82 relating to Student Government, information in box 39 concerning the Jenkins Chair and some materials prepared for an external organization in box 73 are closed until review by the University Archivist in 2017.

Biographical or Historical Information

During the period covered by these records, the University had four presidents, Charles N. Millican, H. Trevor Colbourn, Steven Altman and John C. Hitt. An acting president, Leslie Ellis served between Dr. Millican and Dr. Colbourn and interim president, Robert A. Bryan, served between Dr. Altman and Dr. Hitt. Each man contributed to the creation of these records, and many files include correspondence from several of them; some files even have at least one document produced by every man. The Office of the President was organized by an executive secretary: Mildred Kennedy worked for Dr. Millican, Dr. Ellis, Dr. Colbourn and Dr. Altman; Victoria Brown worked for Dr. Altman, Dr. Bryan and Dr. Hitt. Amy Barnickel and Sandra Cherepow work for Dr. Hitt. Additionally, Dr. Hitt has a Chief of Staff, Beth Barnes.

Abstract

The University of Central Florida is a public multi-campus, metropolitan research university that not only educates the local community but also partners with technological companies and with educational facilities abroad. As Chief Executive Officer of the University, the president has support from a large team; therefore, the Records of the Office of the President document the University's major interests. Nevertheless, correspondence, reports, minutes, leaflets and news clippings also show the breadth and depth of the president's work and his personal interests.

Arrangement Note

These materials were stored periodically by the executive assistant; therefore, information on a single topic may be found in multiple boxes. The records are arranged in six series following the organization of the University, which had a Provost/Vice-President of Academic Affairs, a Vice-President of Research, a Vice-President of Student Affairs, a Vice-President of University Relations and a Vice-President of Administration and Finance. The Office of the President also kept alphabetical files on numerous matters in which the president was involved that related to the University and organizations with which he was involved outside the University. The latter varied with the personal interests of each president. At the time most of these records were created, the University was part of the Florida State University System governed by a Board of Regents. A significant portion of these records, therefore, documents the role that the Board played in the University and chronicles its replacement by an individual Board of Trustees. These records show the range of a president's work nationally, statewide, locally, within the University and in conjunction with the State University System.

Method of Acquisition

The materials were transferred to the University Archives by the Office of the President in 2005.

Processing Information

Rusted paper clips were removed and replaced with plastic clips. Some news clippings were photocopied onto pH neutral paper. All materials were rehoused in pH neutral folders and boxes. Duplicates were removed and social security numbers were obliterated. Faxes that were almost illegible were retyped to preserve the information they contained. Post-it notes were moved to the edge of documents to prevent destruction of information. To facilitate research, files in the alphabetical files that belonged more appropriately in other series were moved. Reports were removed to University Publications for cataloging unless they had supporting documentation. Some materials of interest but not archival were removed to the vertical file. Most photographs were removed to the University Photographs Collection but a few remain where context demands it. Materials in binders were removed and some dividers were replaced with acid-free paper.
